Office Manager Job Description
The purpose of this position is to coordinate communication and activities of the business among the different departments, as well as with employees, clients, and vendors.
Office Manager Job Duties and Responsibilities
- Reflects GreenWeaver’s core values of Quality, People, and Environmental Stewardship in all aspects of work.
- Maintains office services by organizing office operations and procedures, preparing payroll, controlling correspondence, designing filing systems, and performing clerical functions.
- Directs communication including calls, website requests and emails.
- Manages new leads through documentation, qualification, and account creation.
- Organizes and schedules meetings and appointments.
- Handles accounts receivable including invoicing, receiving payments, making deposits, and processing collections.
- Manages relationships with vendors, service providers, and landlord, ensuring that all invoices are paid on time.
- Provides administrative support for bid submittals.
- Manages company human resources and benefits, updates handbook and policy implementation, provides orientation and training to new employees, and conducts exit interviews.
- Maintains accurate books, bank reconciliations, and handles petty cash.
- Manages information including agendas and internal reporting for management, and external reporting for audits, certifications, and memberships.
- Manages office supplies, ordering new stationery, uniforms, furniture, and appliances, and coordinating IT.
- Assists with operations, finance, and marketing, as necessary.
- Participates in the planning and execution of company events.
- Other duties as assigned.
